Job Description:

 

Assistant Property Manager Duties and Responsibilities

  • Answer phones, manage vendor sign-in sheet and manage incoming correspondence.

  • Communicate and correspond with tenants as needed.

  • Keep all tenant files up-to-date including tenants’ certificates of insurance.

  • Calculate, track and prepare tenant invoices for bill-backs.

  • Vendor invoice management including coding and forwarding for approval.

  • Assist with research and resolution of any vendor or tenant billing related issues.

  • Maintain and update directories with contact information for tenants, including legal notifications, unit managers and emergency contact information.

  • Maintain and update directories for all vendors, including managers and emergency contact information.

  • Calculate, track and prepare tenant invoices for bill-backs.

  • Prepare reconciliation of petty cash for Senior Property manager’s approval.

  • Coordinate Tenant request for meeting space, equipment usage, etc.

  • Coordinate servicing of office equipment and ordering of office supplies.

  • Maintain social media platforms including Facebook, Instagram and Twitter.

  • Special projects/requests as assigned.

  • Assist with tenant/project event planning.

  • Other administrative duties and responsibilities as assigned. 

 

Experience and Skills:

Assistant Property Manager Qualifications: 

  • Three or more years of industry experience or a combination of education and experience.

  • Must be able to work weekends and holidays as needed.

  • Experience with Yardi property management software.

  • Strong Microsoft Office skills including Excel, Word, and PowerPoint.

  • Preferably a notary.

  • Highly effective oral and written communication skills.

  • Strong social media skills with demonstrative results.

  • Valid state driver’s license.
